Background
Tokio Marine Financia Advisers (Singapore) Private Limited (TMFAS) is committed to fostering a culture of openness, accountability and integrity. As part of this commitment, the Company operates a Whistleblowing system to provide a channel for employees and other stakeholders, including contractors, agents, advisers, business partners and members of the public to report concerns related to suspected improprieties.
Confidentiality and Protection of Whistleblowers
The Whistleblowing system is overseen independently by Tokio Marine Life Insurance Singapore Pte Ltd (TMLS) Audit Committee (AC) and provides a discreet and confidential avenue for employees and stakeholders to report concerns regarding any suspected or actual improprieties. All whistleblowing reports received will be assessed by the Head of Internal Audit Department (IAD). All concerns raised will be handled in a confidential manner to the extent reasonably practicable, subject to investigations needs and applicable legal or regulatory obligations.
The Company adopts a strict zero-tolerance policy for reprisal against the whistleblowers who have reported improprieties in good faith or individuals who have facilitated with the investigations. Appropriate action may be taken against whistleblowers who made knowingly false, frivolous, vexatious or malicious allegations.
Type of Improprieties to be Reported
Some examples include but are not limited to:
- All forms of financial malpractices such as fraud, corruption, bribery or theft
- Any criminal offense or wilful act
- Failure to comply with legal or regulatory obligations
- Failure to comply with company policies
- Any instances of sexual harassment or discrimination of other kinds
Customer service complaints, dissatisfaction with products or services, commercial contractual disputes, operational issues and employment personal grievances (e.g. wages, benefits, performance management or interpersonal workplace conflicts) should generally be raised through other business channels, unless they involve serious improprieties as described above.
How to Make a Report
Whistleblowers are encouraged to provide adequate and sufficient information to enable the effective investigation of your concerns. Reports should be made in good faith and based on reasonable grounds. While anonymous reporting is possible through certain channels, anonymity may affect the Company’s ability to investigate fully.
